Work shifts in your calendar, without typing them one by one

Daniel Arochena · Creator of Calendaro · Updated 26 October 2026

Shifts usually follow a pattern, but they are rarely identical every day. These are the pieces worth settling before creating the calendar.

Identify the pattern before creating events

A fixed Monday-to-Friday shift fits a weekly recurrence with those weekdays. If Saturday has other hours, create a separate entry. An irregular roster should not become a weekly pattern just because it is laid out as a table of weeks.

Mark the roster period and keep the original document to check the result. Explain M, A, N and any colours. For last-minute changes, also use the workplace's official channel: an external calendar may not refresh before the shift.

Representing a rotation today

Calendaro offers once, daily, weekly, monthly and yearly. It does not include a two-week interval selector or a complete “four days on, two days off” rule. Do not describe that rotation as weekly if it is not.

For an irregular month, specify each shift date as a one-off event. For blocks with a fixed pattern, create entries bounded by start and end dates. You can review a specific period without committing to a recurrence that continues after the roster changes.

A fictional overnight example

Illustrative input: “Night shift on 3 November 2026, 22:00 to 06:00 the next day, Europe/Madrid, do not exclude holidays.” The start is on the 3rd and the end on the 4th. Do not select all-day to represent eight hours of work.

In the review, an end time before or equal to the start is interpreted as ending the next day and a notice appears. If it was not an overnight shift, correct the end. Changing the start preserves a valid previous duration; still check both times against the roster.

Public holidays and clock changes

A public holiday is not automatically a day off. If you work then, leave the entry's holiday behaviour as normal. Excluding holidays requires a country and the entry's exclusion setting; it does not replace your agreement, work calendar or employer exceptions.

Use the workplace's time zone. On a clock-change night, elapsed duration may differ from the difference between clock times. Confirm the schedule and conditions with your employer; Calendaro does not calculate pay, legal rest periods or paid hours.

When the next roster arrives

Open the correct calendar in My calendars and check its dates before changing it. Do not replace past shifts you need to keep with new dates without checking the result. For a separate new period, you can create another calendar; decide whether you want both.

Editing the existing calendar keeps its subscription address. Apple or Google shows the new version when it checks it. If sharing the feed, use neutral names and omit unnecessary colleague data; anyone with the address can read the calendar.

Problems to catch in the review

If a shift appears every week but belongs to one date, change its frequency to once. If it ends before it starts and is not overnight, correct the end. If it repeats beyond the month, add or adjust the period's limit.

If your phone shows another time, check the time zone before changing every event. If the saved roster is correct but the app is old, check subscription refresh and communicate urgent changes directly.

Frequently asked questions

Does it support every automatic rotation?

No. For patterns not expressible with current frequencies, use specific dates or blocks and review each period.

Is 06:00 after 22:00 a mistake?

Not for an overnight shift: it ends the next day. The review flags it so you can confirm that is intended.

Is this a time-tracking record?

No. It plans events; it does not clock attendance, calculate salary or validate legal rest periods.
